1. Registration and Indemnity
1.1 All students must be registered by a parent or legal guardian via the official online portal at https://www.onewithwater.co.za/register/
1.2 By completing registration, the parent or guardian acknowledges and agrees to these Terms and Conditions, the published Indemnity, and any related policies, which may be amended annually at the discretion of One with Water (“the School”).
1.3 Indemnity forms must be re-executed annually. No exceptions to registration requirements shall be permitted.
2. Fees
2.1 All fees are invoiced monthly and are payable at the commencement of each calendar month.
2.2 Invoices are issued on the 25th day of each month for the following month and are payable upon receipt. Failure to pay by the due date may result in cancellation of lessons for that month.
2.3 Fees are subject to annual review and adjustment, effective 1 August each year.
3. Lesson Allocation
3.1 Lessons are scheduled at the beginning of each month. Some months may contain four or five occurrences of a student’s regular lesson day.
3.2 In months with five occurrences of a student’s lesson day, invoices will reflect the total number of scheduled lessons.
4. Lesson Attendance, Booking, and Cancellations
4.1 Students are expected to attend all scheduled lessons. Coaches are remunerated regardless of attendance, and lessons missed without prior notice are considered delivered and are neither refundable nor transferable. Holiday and absence policies: Lessons are scheduled monthly, with each swimmer's time slot reserved exclusively for them. Full payment is required to retain your child's allocated time slot during holidays, travel, or planned absences. Please note that no refunds, credits, or carry-overs will be provided for such absences.
4.2 Cancellations or requests to reschedule must be submitted at least 24 hours before the scheduled lesson. Make-up lessons may only be arranged for illness and must be completed within the same calendar month. Missed lessons due to illness require a doctor’s note for a catch-up. No catchups will be rescheduled.
4.3 Lessons cancelled due to hazardous weather, such as lightning, once commenced, are non-refundable.
4.4 Lessons continue through the winter period unless written notice is submitted to andrea@poorter.co.za prior to 1 April; failure to do so will result in the automatic application of a one-month fee.
4.5 No refunds or make-up lessons are permitted for absences without prior notice.
5. Weather Policy
5.1 The School’s pool is indoor and heated; lessons will proceed under normal weather conditions.
5.2 In the event of lightning or other hazardous conditions, the attending coach has sole discretion to cancel lessons.
5.3 Make-up lessons will not be provided for weather-related cancellations In the unlikely event of two consecutive lessons being cancelled due to weather a catchup will be offered.
6. Operating Hours
6.1 The School operates year-round, excluding public holidays, Easter weekend, and the annual December/January holiday period.
6.2 Lessons scheduled on excluded dates will either be rescheduled or not charged, at the School’s discretion.
7. Administrative Fees
7.1 An annual administrative fee of R300 per student is payable at registration and each subsequent September.
7.2 This fee contributes to administrative operations, pool maintenance, and equipment upkeep.
8. Medical Conditions
8.1 Parents or guardians must disclose in writing any medical condition, illness, allergy, or health issue that may affect the student’s participation in lessons.
9. Model Release and Use of Photographs
9.1 Parents or guardians grant the School permission to photograph and record video of their child during lessons for marketing purposes, including print, online, presentations, and social media.
9.2 Such materials remain the property of One with Water unless written notice is submitted to withdraw consent.
10. Pool Etiquette
10.1 Students may enter the reception area no more than 10 minutes before their scheduled lesson.
10.2 Late arrivals exceeding 10 minutes for group lessons will forfeit the session.
10.3 Only registered students cleared by security may enter the pool area. Parents/guardians may enter the training zone only if explicitly authorized by the coach.
10.4 Siblings and friends must refrain from entering the teaching zone or causing distractions.
11. General Provisions
11.1 The School’s staff are not responsible for students outside scheduled lesson times or outside the pool area.
11.2 Parents/guardians must notify the school promptly of any change in contact details to ensure timely communication in emergencies.
11.3 The School reserves the right, at its sole discretion, to amend coach assignments. Feedback from parents/guardians is welcomed but not binding.
